Must-Read Before UAE Air Freight: A Rookie Forwarder's Mistakes
I have been in Middle East air freight for years. Not long after I started sales, a client wanted to ship 20 boxes of auto parts to the UAE by air. I was excited. I thought, not bad, my first big order came quickly. On the phone, the client said each box was 40 x 30 x 25 cm and the actual weight was 8 kg per box. I used a calculator. Volumetric weight was 5 kg. So we used 8 kg. I sent the quote and felt good.
Then the cargo arrived at the warehouse and the airline re-measured it. The real size was 55 x 40 x 30 cm. Volumetric weight jumped to 11 kg. That was 3 kg more per box. For 20 boxes, that was 60 kg of difference. I had to tell the client. He exploded: "You gave me the price. Why should I pay extra?" I was stunned. I stood in the office hallway and couldn't react for a while. In the end, our manager stepped in, took the client to dinner, and worked out a compromise. We were lucky not to lose money on that order.
After that, I learned my lesson. When I take an order and do the documents, I have to be careful. If I am not sure, I ask. Don't worry about losing face. I always ask the client to take videos and photos and measure the boxes on site. And the quote must include one line: "Final charge is subject to the airline's re-measurement." It sounds cold, but it can save you.
For shipping from China to UAE, you can't avoid dealing with local agents. This industry has all kinds of people. I have heard too many stories about small forwarders running away or giving terrible service. Later we joined WCA, member number 87909. The platform is not easy to join. The annual fee is not cheap, and you need scale and qualifications. But the benefit is real. It is like someone backing you up. If an agent has a problem, the platform helps you coordinate and even defend your rights. Both sides are held accountable, so service usually won't go too far off. If you want to do Middle East air freight well, no space means empty talk. We now run two dedicated routes. One is Guangzhou-Shenzhen direct to the UAE, with 20 pallet positions a week, about 4 per working day. We lease them directly from the airline. The other is Guangzhou-Shenzhen to the UAE via Beijing, with flights every day from Monday to Sunday. To be honest, many forwarders say they are the direct space owner. But direct space has different levels. A few pallet positions a week and 20 a week are not the same.
That is also why we later won the DJI order and helped them ship electronics worth 12 million RMB. DJI does not pick a forwarder casually. They visit your warehouse, check your company background, and see if you have lawsuits. If they work with you, it means your strength and service passed the test.
Many clients doing shipping from China to UAE ask about price first. Is price important? Yes. But freight forwarding is special. Whether the company is reliable is the foundation of everything. I have met many clients who haggled over price at first. Later they visited our company, saw the warehouse, the pallet positions, and the team, and signed the order.
Shipping from China to UAE is really about trust between people. Finding a reliable forwarder matters much more than saving a few dollars. I hope the pits I fell into can help you avoid them.
