Oversized Air Freight To Dubai? Veteran Freight Forwarder Shares Solutions

Recently, Mr. Xue had two large industrial centrifugal compressors to send by air to Dubai. Each piece was 3.6m long, 2.2m wide, and 2.8m high, with a net weight of 5.8 tons. His client’s oilfield project urgently needed them for installation. Originally, they planned sea freight, but the project suddenly sped up – the installation date moved from “next month” to “in 10 days.”

The oilfield installation team – dozens of workers – were already being arranged to the site. Their daily wages plus food and accommodation cost tens of thousands of yuan per day for the whole team. Waiting for a ship would cost more than the air freight itself. Honestly, this is the worst situation in shipping – no one was prepared!

Mr. Xue first asked several freight forwarders. They all said, “Yes, we can do it.” But when he asked for specifics – “What aircraft type for a 2.8m-high piece?” “What’s the main cargo door height of your freighter?” “Have you actually seen the cargo on site?” – none could give clear answers. He felt they were unreliable, so he came to us.

The cargo arrived at our warehouse. I went on-site to work out a plan. The compressor itself was 2.8m high, but what the client didn’t mention was that, for anti-crush and anti-impact protection, they had welded a heavy-duty angle-iron cage frame around it. The frame’s highest point was 2.95m. This shipment was to go on a Boeing 747 freighter’s main deck. The regular main deck door height is just about that – 2.95m was already at the limit. It simply wouldn’t fit. When the client welded that frame, they never considered the aircraft door height – they only thought about sturdiness.

I quickly called Mr. Xue. He got worried too: “This protective frame is the factory original. The equipment is very precise; we can’t modify it on site. If it gets bumped, we have to send it back to the factory. So the equipment needs the frame during use, but we can’t install it at the site – and we don’t have a spare. So the factory put the frame on from the start.”

I said, “Mr. Xue, don’t worry. We’ll find a way to send the frame too. We’ve done many oversized air shipments from China to UAE. We’ve seen cases where the packaging is oversized but the cargo itself isn’t. The solution isn’t complicated: fully disassemble the protective frame and ship it as loose parts along with the cargo. At the Dubai site, they can reassemble it – it will still protect the equipment. And as loose parts, it won’t take up height space.”

The frame itself weighed over 200 kg. We could ship it as general cargo with the main pieces. That left the compressor body at 2.8m – still too high. What to do? We changed the compressor from vertical standing to lying on its side. This compressor is designed for vertical installation, and it arrived vertically. But after laying it sideways, the height becomes the width – 2.2m – and the width becomes the height – 2.8m. Lying down, the height is only 2.2m. Add a custom flat steel base of at most 15cm, and the total height is 2.35m – within the limit.

We know many equipment pieces cannot be laid flat. I asked Mr. Xue to contact the factory. They confirmed it could be laid flat. The only catch: the compressor has lubricating oil and precision bearings inside. Sideway transport must ensure the correct angle and secure fastening – no shaking at all.

Mr. Xue asked, “Can your team handle this?” I said, “Your cargo is in our warehouse. We have a professional oversized cargo team. We can get it done overnight.” He immediately agreed.

That night, our team started work. First, we fully disassembled the 2.95m cage frame – numbering and marking every angle steel, bolt, and support rod, taking photos and records, then packing each bundle securely. Then we used two 5-ton forklifts to slowly tilt the compressor body onto the flat steel base we had prepared. The base surface had a 5cm-thick shock-absorbing rubber pad. We set four custom-shaped limit blocks according to the compressor’s bottom shape, locking it in place perfectly. Then we crossed six straps over it – rock solid.

By early morning, everything was done. The frame was in loose parts. We re-measured: the compressor lying sideways with the base was 2.35m. We took photos, videos, and kept records. At dawn, we sent the modification plan and actual measurements to the airline. That same afternoon, they approved it and issued the “Oversized Cargo Loading Confirmation” – our space was officially confirmed.

The whole process took less than one extra night. Compared to sending it back for repackaging, redesigning, and waiting for new approvals – this was way faster by miles.
